TRMA Conference Terms and Conditions

Admittance

Your registration entitles you to admittance to the event for which you have registered. Any and all other costs associated with your attendance (including without limitation travel and accommodation expenses) shall be borne solely by you, and TRMA shall have no liability for such costs.

Registration & Payment 

Where registration places are limited, places will be allocated on a strictly ‘first in’ payment basis.
If you do not receive a confirmation email after registering, please email admin@trma.co.nz. to confirm that your registration has been received.
Payment is required prior to the event start. Your event registration is not confirmed until payment is received. An invoice/receipt will be emailed to you after payment has been made. 

Cancellation and Refund Policy

If your circumstances change and you can no longer attend an event, you may cancel your registration by providing email notice to admin@trma.co.nz. 
Please note that registrants are responsible for cancelling their own hotel and travel reservations. 

TRMA reserves the right to cancel an attendee’s registration if they believe the registrant’s motivations to attend run counter to the purpose of the event.

A full refund, less an administration charge of 40%, is given for cancellations received in writing four weeks prior to the event.
A 50% refund will be given for cancellations received two weeks prior to the event.

Regrettably, for cancellations received less than two weeks prior to the event, with no possible substitute attendee, no refund can be made.
If cancellation of the event for reasons outside of the organisers control is required, a full refund will be given.
All refunds will be processed after the conference.
Substitute delegates are welcome without penalty, but please advise TRMA of any name change, for administration purposes.

There will be no refunds for any booked delegate who does not attend on the day.

Force Majeure 

TRMA shall not be held responsible for any delay or failure in performance of its obligations to the extent such delay or failure is caused by fire, flood, strike, civil, governmental or military authority, acts of God, acts of terrorism, the availability of the venue or other similar causes beyond its reasonable control and without the fault or negligence of TRMA or its subcontractors. 

COVID19 Guidelines for a TRMA Conference

Responses to Covid19 in relation to the event industry are being continually reviewed in line with government policy and industry best practice. We will immediately advise our registered delegates of any changes to the event registration process and attendance guidelines.

Please ensure that when attending the conference, you are healthy and well and consistent in practicing good hygiene and sanitisation. Please do not attend the conference if you are sick or have any symptoms, regardless of whether or not you are registered or vaccinated.

Hygiene – We ensure that all our staff, speakers, caterers, delegates and venue operators keep a strictly high level of hygiene and safety at all times.

Presentation Materials 

Any presentation materials attendees receive access to from speakers as part of a TRMA event will be used solely for attendees’ own internal, non-commercial purposes. Unauthorised distribution (via sales, copying, posting on intranet/internet) is expressly forbidden.

All rights in all presentations, documentation and materials published or otherwise made available as part of a TRMA event (including but not limited to any audio or audio-visual recording of the conference) are owned by TRMA or are included with the permission of the owner of the rights. 

Personal Audio & Video Recording 

The audio or video recording of all or any part of TRMA events without express permission from TRMA is not permitted. Anybody found recording without permission will be removed from the event. 

Image Release 

In registering for a TRMA event, registrants grant permission to TRMA to take and to have full and free use of video/photographs containing their image/likeness. It is understood these images may be used for promotional, news, on-line/multimedia, research and/or educational purposes by and for TRMA.

Should an attendee not agree to the above image release, they must advise the TRMA by emailing at admin@trma.co.nz.

Exhibitors and Sponsors

You may be asked to provide your contact details to exhibitors or sponsors at the Conference. Please note that this is optional, but should you provide exhibitors and/or sponsors during Conference your contact details then you are opting-in to receiving communications from that entity and you will be subject to their communications and privacy policy and must opt-out with them directly.

Views

The views expressed by any event attendee, speaker, exhibitor or sponsor are not necessarily those of TRMA. All event attendees, speakers, exhibitors and sponsors are solely responsible for the content of any and all presentations, marketing collateral, advertising and online web content. 

Dietary Requirements 

For any event that provides catering, registrants should email admin@trma.co.nz detailing their dietary requirements.
TRMA is unable to guarantee that all dietary requirements will be able to be catered for. 

Lost, Stolen or Damaged Property 

TRMA does not assume responsibility or liability for stolen, lost, or damaged personal property incurred at a TRMA event. 

Behaviour 

In its sole discretion and without refund, TRMA reserves the right to refuse admittance to or expel from any event anyone that it determines is behaving in a manner that could be disruptive to the event or to any other attendee. This includes social media postings. 

Insurance

Delegates are encouraged to take out personal travel and medical insurance which includes loss or damage of personal possessions, including loss of registration and accommodation fees through cancellation.

Privacy

Unless you indicate otherwise on the registration form, the organisers will include your name on the list of conference participants distributed to delegates and sponsors. Photographs taken at the conference will be uploaded to the conference website and Facebook page, and may be used to promote the annual conference in future promotional material. At any time, you are able to contact NZPI and request to have images that feature yourself removed. Click here to see the Privacy Policy

Disclaimer

In the event of industrial disruption, or other unforeseen circumstances that disrupt the conference, the conference organisers accept no responsibility. The information on the conference website and in the printed collateral is correct at the time of publication. However, the conference organisers reserve the right to change information. The conference organisers disclaim any and all liability to any person in respect of the consequences of any failure to operate, accident or injury which may occur on services reserved.

The right is reserved to add, withdraw or substitute speakers and vary the advertised programme.

If the conference is cancelled for any reason beyond the organiser’s control, there is no right of exchange and no obligation is assumed by the organisers for arranging a substitute speaker. In the unlikely event of cancellation of the conference, a refund of registration fees & functions may not be possible and is at the discretion of TRMA. Where an event may be postponed and the option of re-attending is not suitable, a cancellation can be made by writing to the conference organiser and on acceptance, fees will be refunded after deduction of expenses already incurred and subject to supplier contractual agreements.
